How to Evaluate an Agency Management System Before You Switch

Switching your AMS is expensive and disruptive if you get it wrong. Here's the checklist to run before you sign anything.

Start With What’s Actually Broken

Before you look at a single demo, write down the specific problems with your current AMS. “It’s old” is not a reason to switch. “I can’t get a real-time carrier data feed” is.

Data Migration Is the Real Cost

Every vendor will tell you migration is easy. Ask for the name of an agency your size that migrated in the last six months, and ask them directly how long it took and what broke.

Integrations Matter More Than Features

A long feature list means nothing if the AMS doesn’t talk to the rating engine, CRM, and comms tools your team already uses every day. Map your current stack first, then check integration compatibility before comparing feature checklists.

Get the Total Cost, Not the Sticker Price

Per-seat pricing rarely includes migration fees, training time, or the productivity dip during rollout. Ask for all of it in writing before you decide.
