Client Intake & Data Collection

Tools that pull verified policy data directly from carriers or client documents, replacing manual intake forms and dec-page requests.

How This Category Works

Client intake and data collection tools solve one specific problem: getting a prospect’s current policy details into an agency’s systems without a phone call, a PDF emailed back and forth, or an agent re-typing a declarations page by hand. The two mechanisms in this category are direct carrier data connections (the client authenticates with their current carrier and the data pulls automatically) and document-based extraction (the client uploads a dec page or other policy document, which the software parses into structured data).

Products in this category usually sit upstream of an agency’s AMS, CRM, or rating engine. The data has to end up somewhere, which makes the depth of a given integration as important as the intake mechanism itself.

What to Look For

  • Direct carrier connections versus document-upload extraction, and how the product handles carriers it can't connect to directly
  • How fast a client can actually complete the intake flow
  • Which plan tier unlocks direct AMS/CRM integrations versus a Zapier-only connection
  • What happens to data for carriers outside the vendor's direct network
